How to track confirmed job applications

An application tracker should show what happened, not just what you intended to do. Use separate states for a saved opportunity, a form in progress and a confirmed submission.

Create a small set of useful columns

Start with job title, employer, posting URL, date saved, application route, current status and follow-up date. Add a short note for the next required action. Useful routes include Indeed, LinkedIn Easy Apply and the employer's website. A company-site application may have a different reference number from the source job listing, so keep both when they are available.

A spreadsheet is enough for a modest search. Keep the job URL as a link and use consistent status labels. You can add resume version or recruiter contact later if those details help your routine. Avoid collecting information you will never use.

Give each status a concrete meaning

  • Saved: you want to revisit the listing.
  • In progress: an application is open but unfinished.
  • Needs an answer: a required field, resume choice or verification step needs attention.
  • Ready for review: the form is complete enough to inspect before submission.
  • Submitted: the site has shown an acknowledgement.
  • Closed: the opportunity is no longer active or you chose to stop.

Record confirmation instead of guessing

After submitting, look for the employer's acknowledgement, an application reference or a matching entry in the platform's application history. Save a short description of that evidence and the time. An email can provide additional confirmation, but its absence alone does not establish failure: not every employer sends an immediate message.

If the page hangs after Submit, mark confirmation as uncertain. Do not keep pressing Submit to improve the count. Check the visible status and the relevant application history first. The tracker should preserve uncertainty until you have evidence, even when that makes the day's total smaller.

Write a next action that you can complete

“Finish address field,” “choose the correct PDF” and “check application history” are more useful than “fix application.” When an employer asks an unfamiliar question, record the question category rather than sensitive answer text. Keep private documents and eligibility information out of shared spreadsheets.

Review the tracker before another search

Spend a few minutes finishing relevant incomplete forms before opening more listings. Check for duplicates by employer and URL. Review upcoming follow-ups and remove opportunities that are no longer suitable. This makes the tracker a working tool rather than a count of links collected.

Alomar Apply's supported workflows use review and confirmation states, but a test log or Start acknowledgement is not an employer receipt. Use the same distinction in your own notes. The first-application checklist shows what to verify, and the Start troubleshooting guide explains what to do when a run stops before opening a form.
